Folder/File Permissions

Synopsis:  User requests to have access to a folder or file.

Solution:

When a request is being made to alter user/group access to a folder first check with the corresponding department head. Also Identify if the file should belong to an existing folder location that may provide the user/s access.


For example, if in M&M folder and the file/folder has one or two other departments that need access then you may want to consider moving to the SharedFiles/M&M. As long as the file/s have no internal access concerns.


If it is determined that permissions need updating the first thing is to consider if that user's group association needs updated. For example, a new hire can't access their department folder then won't want to add their name to the folder. Instead, we need to update their AD account with the appropriate group they are missing.

If not installed, you will need windows server manager (see article below). There will be some configuration to connect this to our AD1 service, see your network admin for sign on information.

Once set up go to tools --> Active Directory Users And Computers



From this screen you can see the different domain user groups

From here you should be able to find the user by the hierarchy they belong to. Just because they belong in the hierarchy in the folder structure does not mean that they may not be included/excluded from certain content. Below is an example of a user's "Member Of" permissions which controls the folder rights. This can be added or removed from, in order to ensure they are configured to the appropriate access on our system.

For example, you might add someone to be a member of "merchandising" on their account so that they can access merchandising folders.


Update Permissions On Folder/File Instructions:


If it is determined that the permission is an exception to AD User Group access. Then you will need to go to the folder/file on the system and update its permission. To do so right click on the file/folder and select properties. Then switch to the security tab.



To edit it is recommended to go to "Advanced".


From Here you can see the type of access each user has and add a new permission.



Reminder: By Default, Folders will inherit permissions. So, if you provide access to a folder any files/folders within that path will also be granted access to the user. Unless you select disable inheritance on the folder you are working with. This should be done very intentionally.


After clicking add, click "Select a principal" then type in the user's name and then select the appropriate permissions for the user via the checkboxes (image below). 


Click "ok" and the users' permissions will begin to update which may take some time if this is done to a large folder as it will update all files in the folder as mentioned above.
